Crisis to Confidence: Rescuing an Event in 48 hours

The Situation

Two days before a major corporate conference was due to go live at Sketch London, something went wrong. The agency managing the event arrived at the venue with their client and realised the production element of the event had not been planned properly. The in-house AV package booked with the venue was fundamentally different to what had been assumed and as a result, neither the video nor the sound was fit for purpose.

With the event date immovable and the client's expectations firmly set, the agency made the call to bring in outside help. They contacted us.

 

The Challenges

What we had was not a single problem, it was several, compounding quickly.

The production specification needed to be rebuilt from scratch and the right equipment, crew and logistics secured within hours. Sketch London, while a stunning venue, is not a natural conference space, the environment added further complexity to an already difficult brief and ever more stressful client.

The conference had been designed to run in the round, a format that requires specific staging, sightlines and technical configuration. It also requires presenters who are trained and comfortable working without a front-facing stage. These presenters had none of that experience and no preparation for it.

Time was the one thing nobody had.

 

What We Did

We went directly to the venue to meet the client and agency, assessed the situation, and had a workable plan in place within the hour. The goal was clear: keep the venue, keep the date, and make the event work.

Staging, sound equipment and a specialist technical crew were secured immediately. Logistics and overnight accommodation for kit and crew were arranged. An available video and graphics technician with specific expertise in the venue's in-house system, was identified and flown down from Scotland that evening. We worked through the night at the venue to get the content configured and functioning correctly ready for the client to see the next day.

During rehearsals, it became clear that the presenters needed more than technical support. Presenting in the round is a skill, and without guidance, even confident speakers can struggle. We stepped into the producer role, working directly with each presenter to coach them through the format, build their confidence, and ensure their messages would land effectively in the room.

All of this was delivered within the budget and time we had been given.

 

The Outcome

The event ran without a single issue. Sound, video and lighting performed exactly as they should. The presenters delivered with confidence. The client left satisfied — more than satisfied.

When we arrived at the venue, the stress in the room was palpable. By the time the event opened, it was gone. That shift from crisis to calm, is something we take seriously. Our job is not just to solve the technical problem. It's to make sure the people responsible for the event feel in control of it.

We were honoured to be requested for the task of project and event managing Cygnet’s exclusive celebration event held at the Penderyn Distillery. The event was an extraordinary evening honouring the finest in Welsh culture, craftmanship, and culinary artistry hosted by Cygnet Gin. A showcase of their range of fine gin products, both on display in the most creative way through to accompanying an astronomical delight with various cocktails served upon each course.

This was an event of the highest order – expectations were high and was fraught with challenges, so was no mean feat to succeed! The venue, a working barrel warehouse at a fully operational distillery proved the first consideration – the room itself had never seen an event nor was it built for that purpose, so everything from making it safe to house, to creating an environment fit for a luxury event was all part of the service. Naturally, site inspections were done immediately, this is always the first task – you cannot succeed if you don’t know your product and was essential to see the space as soon as possible. The lead time was relatively short, 3 weeks – so building trust and strong relationships with the venue and suppliers was also vital to succeed.

The favourite element was of course seeing the vision come to life in such a venue. Creatives such as adding floral touchpoints outside of the venue itself within the hallway leading up to the warehouse, to adding gobos on the walls. The room transformed during the event, from being welcomed by floral scents and creative designs to enhance the Cygnet brand, then evolved to ambient lighting taking stage with uplighters against empty barrels and the Cygnet brand lit up on walls and the premium bespoke bar.

Budget was less than you think, so every negotiation had to be scrutinised, and decisions had to be carefully choregraphed to create the desired look but mindful of pennies. We think we hit the mark on all counts.

The Setting

A very special, intimate event set in the beautiful landscape of Lake Garda, on the exquisite Isola del Garda. Not only did we delight in looking after a legend in the operatic world, Katherine Jenkins OBE, but also one of the three tenors, Jose Carreras. By the very nature of the venue being an island, this was particularly challenging logistically. Guests were taken over by various boats at specific times, so timings were everything!

 

Attention to Detail

From multiple arrivals to minute-by-minute agenda detail, this event proved one of our toughest yet. Working on an island is a challenge enough, but add to the mix two world class performers and guests full of expectation. Certain crossings for kit and materials were delayed due to bad weather conditions the day prior, meaning everything had to be militant on the day itself. Touchpoints were curated suitable to the demographic; buggies were lined up for folk with mobility issues, cold towels at the ready upon arrival with a glass of bubbly of course, garden tours preceded an intimate concert with blankets on chairs for when the sun fell along with a very warm welcome to our 80 esteemed guests.

This event was truly testing, where everything and every movement was exposed and judged. This wasn’t a large event with multiple suppliers and guests, but the gravitas and magnitude of getting it right was critical.

The Result

100% of guests scored the event 'Excellent'.
